How do I receive my conference documents?

If it doesn't say otherwise on the conference homepage, the conference documents will be handed out at the conference and not sent in advance.

When do I receive the final printed programme?

If it doesn't say otherwise on the conference homepage, the printed programme will be handed out at the conference. The pdf-version of the programme is available in advance on the homepage.

Is it possible to take part in an event for one day only?

Unless specifically shown on an event page, there are no daily tickets to the event. Please send your inquiry per email to the organisation of the conference in question.

As a member of the press can I take part free of charge?

Please get in contact with the organisers of the conference in question by email.

Can I bring a guest to the conference free of charge?

In principle, everyone who would like to visit a conference and take part in a lecture programme must register and pay a participation fee.

Can I bring a (not registered) guest to the social evening?

Yes, it's possible. However, it will incur a fee.

May I submit multiple contributions?

It is possible to submit more than one contribution. 

The submission deadline is over. Can I still submit a contribution?

In principle it is possible to submit contributions after the deadline. 

Should the arrangement of the lecture programme have already begun, it is usually only possible to still submit poster contributions.

When will I be informed as to whether or not my contribution has been accepted?

After the arrangements have been finalised by the PA, the authors receive notification if, and in which category, the contribution has been accepted. The apporoximate time frame for notification can be seen on the conference homepage under "keydates".

What does the term "Oral Poster" mean?

Oral Poster means that the contribution, in addition to the regular poster presentation, is introduced in a short verbal presentation.

Why was my contribution categorised as a poster and not as a lecture, as I had indicated in the application?

With the submission of presentations, the final category of presentation: lecture, oral poster, poster, will be decided upon by the PA/TopicOrg/SymOrg.

In general, poster submissions will be categorised as posters.

Can colleague take over my presentation and participate in my place?

It is possible to name a replacement participant or a replacement author. However, the relevant conference oraginisers must be informed of this change by email before the start of the event.

Can I pay my participation fee at the conference?

The participation fee must be paid by the date given on the invoice. A cash payment at the event is only possible after consultation with the organisers and in exceptional cases.

Is it possible to receive a letter of invitation as a visa application?

We would be delighted to help you with your visa application. In order to do so, we need you to send the following details by email to the conference organisers:

Passport number
Expiry date of passport (day.month.year)
Nationality

Can you send me and a companion/wife/husband a letter of invitation for visa applications?

We would be delighted to help you with your visa application. In order to do so, we need you to send the following details by email to the conference organisers:

Can you send me the letter for the visa application in English?

The letters of invitation for visa applications to the German Embassy to attend conferences held in German-speaking countries are written in German.

Can you send me the original letter of invitation by post/courier?

Letters of invitation are only sent by email.

How long does the visa application process take?

The participant must get this information him/herself from the relevant embassy.

Must the manuscript guidelines be adhered to or can I also use another format?

The manuscript guidelines must be adhered to.

Can I submit more/less pages than stipulated?

The number of pages stipulated in the manuscript guidelines must be adhered to. There definitely may not be more pages than stated.

When is a seminar programme available online?

A further training programme is available online approximately 3 months before the event takes place.

Is it possible to buy seminar documents without taking part in the seminar?

Seminar documents are only available to participants of the seminar and may not be bought.

When do I receive information on the hotel and the invoice for the room I booked?

Seminar participants receive their invoice of participation 4 weeks before the start of the event and an email with further information about the event as well as hotel recommendations.

If I am unable to attend a seminar, can I send a replacement?

It is possible, after consultation with the further training office, to name a replacement participant. This must be dealt with by email before the start of the event.

Do I receive a certificate of participation at the end of the seminar?

At the end of the seminar, all participants are given certificates of participation by the leader of the seminar.
